Dental booking should let new patients request appointments online, verify insurance before the visit, send secure forms, confirm and remind, and schedule the next recall and recommended treatment before the patient leaves.

Mistakes
- Not verifying insurance before visit
- Letting unscheduled treatment go untracked
- No recall booking at checkout
Building a schedule that works
Dental schedules run smoothly when appointment types have realistic lengths and production is spread through the day. Many offices reserve morning blocks for longer restorative appointments, keep a few slots each day for emergencies and new patients, and run the hygiene schedule on its own column. Set the practice management software with appointment templates so new-patient exams, cleanings, crowns and emergencies land in the right places. Track how long procedures actually take for a month and adjust the templates.
Unscheduled treatment is where many practices lose ground. When a patient leaves without booking recommended work, put them on a list and follow up within a week with a call or secure message that explains the treatment and the estimate again. Many patients simply needed time to check their budget or benefits.
Handling cancellations
Keep an ASAP list of patients who want earlier times, and offer cancellations to them first by text. Post your cancellation policy on the website and in confirmations, and enforce it kindly but consistently.
Running the calendar
Confirm appointments two days before and keep a short call list for same-day openings.
Workflow
- Appointment request form with minimum info
- Online scheduling link if used
- New patient forms via your secure system
