A balloon arch is not an item on a shelf. It is a design, a color mix, a day of prep and a morning of setup, and it is built for one event. That is why asking for a deposit is reasonable: you are putting aside real time and buying materials for a customer who is not going to be shared with anyone else.
Where the time really goes
Most of the work happens before the event: choosing a palette, ordering the right latex colors, building frames and test inflating. A deposit pays for that preparation and discourages the customer who asks for a quote, then disappears the week before.
On the site, we describe the process in the same order a customer lives it: inspiration photos, quote, deposit, final details, install. When the steps are visible, the deposit feels like a natural part of the plan.
What to ask for in the request
- ✓Event date, venue and setup window — some venues give you only an hour
- ✓Theme and colors — with a photo upload or link to an example
- ✓Size and placement — arch, garland, columns or a backdrop
- ✓Budget range — so you can suggest a design that fits it
Setting expectations about materials and weather
Balloons are sensitive to heat and wind, and outdoor installs have limits. A short note on your page about what you do outside, and what you will not, saves a painful conversation later. The words are yours; we place them where they are seen before the pay button.
The deposit itself goes through the tool you use or through Square, which we can help you set up. Provider fees are charged by that provider, and what you refund on a changed design or a cancellation is your own decision.
Gather these to make the deposit step smooth
- ✓Your pricing logic — by size, by hour or by design, not a number on the page
- ✓A list of what is not included — tables, lighting, helium refills
- ✓Lead time for custom colors — how many days you need
- ✓Your cancellation wording — one honest paragraph
What to expect, honestly
- ✓We do not price your designs — you set the quote and the deposit amount
- ✓We cannot predict venue rules — you confirm access with each venue
- ✓We do not hold your schedule — a date is blocked once you confirm it
