A venue gets booked at a moment of enthusiasm: the walk-through, the sunlight on the terrace, the quick mental picture of the guest tables. A few days later the excitement fades and another venue gets a visit. Sending a clear deposit link while the picture is still fresh is the simplest way to turn that tour into a reserved date.
What the deposit holds
The deposit reserves a date and a space. Say which room, which hours and what is included, and note that other bookings are declined for that time. If you offer different spaces, such as a ballroom and a garden, list the deposit for each.
Tentative holds are common. You might give a couple a few days to decide after a tour. Setting that period on the page, and what happens when it ends, keeps it fair for the next couple who asks about the same date.
Details a client should see
- ✓Space and times — the room, setup and teardown windows
- ✓Capacity — how many guests the space is set for
- ✓Deposit and schedule — what is due now and when later payments fall
- ✓Agreement — where to sign before the date is final
Policies that matter for venues
Venues carry more rules than most businesses: vendor lists, music cutoffs, insurance requirements and damage terms. Keep the deposit page short and link to a policy page that holds those, so the payment step stays clear.
State what happens when an event is moved or cancelled. Your terms are your own; the aim is for the client to have read them before they pay, and to be able to find them afterward.
What we set up
- ✓Tour request and calendar — so visits are scheduled online
- ✓Deposit link — through your tool or Square
- ✓Policy page — your venue rules in plain words
- ✓Space pages — capacity, photos and layouts
Peak dates and conflicts
Spring and fall weekends go first, often a year ahead. Show which dates are held, which are open and how long a tentative hold lasts, so two groups never believe they have the same Saturday.
What to expect, honestly
- ✓Agreements and insurance terms are yours — we link to your documents, we do not draft them
- ✓Refund terms are your own — the page shows them, it does not decide them
- ✓Payment fees belong to the provider — Square and others charge their own rates
