A party order can mean sixty chairs, six tables, two tents and a dance floor, all needed on the same morning. Nobody pays a deposit on a list that is still changing, so the order on your site should be quote first, then deposit. That is the sequence this page walks through.
Why the deposit comes after the quote
Rental customers shop by list. They want to see the catalog, add what they think they need and get a number. If the site asks for money before that number exists, you lose them. So the quote request comes first, and the deposit link goes out only once you have confirmed the items, the date and the delivery address.
That also protects you. The deposit is tied to a specific list and a specific morning, and you can show a stock level against it in your own records.
What belongs on the quote and deposit steps
- ✓The item list with quantities — chairs, tables, tents, linens and any add-ons
- ✓Delivery and pickup windows — with a note about stairs or long carries
- ✓The event date and venue — venue type matters for tent stakes and power
- ✓The deposit amount in your confirmation — plus when the balance is due
Handling date conflicts without arguments
Large items are the ones that collide. Two weddings on a Saturday can both want the same twenty-foot tent. The site cannot see your warehouse, so the rule has to be simple and written down: the first deposit received holds the item.
We put that rule next to the pay step in one sentence, and we word the confirmation email to name the date, the items and the window. You keep your own calendar as the final word, and the deposit only blocks the date once you mark it.
Decisions to make before we build
- ✓A flat deposit or a percentage of the order — pick the one you can explain quickly
- ✓Your minimum order size — a floor saves time on tiny requests
- ✓Damage and late return wording — your own terms, shown plainly
- ✓Who can change an order after the deposit — write down the cutoff in days
What to expect, honestly
- ✓We do not run inventory software — the site collects requests and deposits, and you keep stock records
- ✓We do not write rental contracts — your own agreement stays your own
- ✓Payment provider fees stay with the provider — we do not set or change them
