A print quote cannot be given without four details: what it is, how big, how many and how soon. Almost every wasted email thread in a print shop is about collecting them one at a time. A form that asks all four at once cuts that thread to a single exchange.
Product first, specs second
Offer a product list: business cards, flyers, brochures, banners, signs, labels, packaging, other. Selecting one reveals relevant fields: size options, paper or material, finish, single or double-sided, quantity. "Other" opens a description box for anything unusual.
Always include "I need help choosing", because many customers know the result they want and not the spec name.
Details a print estimate needs
- ✓Product and size — standard sizes or custom
- ✓Material and finish — paper stock, vinyl, laminate
- ✓Quantity — with room for two quantities to compare
- ✓Artwork status — ready, needs design, need help
- ✓Deadline — and delivery or pickup
Artwork status prevents delays
Half of print delays come from files. Ask whether artwork is print-ready, needs adjustment, or does not exist, and link to a short file guide: accepted formats, bleed, resolution. The guide is a page we build with you from your own requirements.
File upload through the form is scoped separately, since print files are large. Meanwhile, the confirmation can tell buyers how to send files.
Keep the form current
- ✓Update product list — as you add services
- ✓Check file guide
- ✓Review deadlines — during busy weeks
- ✓Test returning-customer path
Business accounts and repeat orders
Repeat buyers want speed, not a long form. Add a short "returning customer" choice that asks for the previous job reference and what changes. It makes the second order a two-minute task.
Seasonal surges are real: elections, graduation, holidays. Put a short banner on the form page about lead times during those weeks.
What to expect, honestly
- ✓We do not run proofing or online ordering — this is a quote form
- ✓File upload is scoped separately — large files need care
- ✓Pricing remains yours — we do not publish rate cards
