People looking for a therapist are often reading late at night, unsure what kind of help they need and worried about who will see their message. A good practice website lowers that tension. It explains how you work in ordinary language, shows the practical details plainly and makes the first step small and private. This guide walks through such a site page by page, with the reasons behind each choice.
It suits a solo clinician or a small group practice. Nothing here is clinical or legal advice; your own professional rules and advisors decide what you may say.
The homepage: warm, factual and brief
Open with who you see and how you work, such as adults and couples, in person and online, in the state or states where you practice. Avoid promises about outcomes; describe the process instead. Add a short line on whether you are accepting new clients, a button to request a consultation and a link to fees and insurance. A natural photo of you or the office does more than any stock image of a sunset.
The pages, and what each one is for
- ✓About — training, the approaches you use and why you do this work, in your own voice
- ✓Areas of focus — the concerns you work with, described neutrally, never as cures or results
- ✓Fees and insurance — session rates, sliding scale if any and how out-of-network billing works
- ✓FAQ — first session length, cancellation policy, online sessions and what to bring
- ✓Contact — a short form and a clear note about what not to share in it
Privacy-conscious first contact
The contact form should ask for very little: name, a preferred way to be reached, general availability and an optional line about what kind of appointment they want. Above it, place a plain notice asking people not to include health details or anything they would not want in an ordinary inbox. Explain that the form is not monitored for emergencies and that anyone in crisis should contact emergency services; your wording, your approval.
If you already use practice software with its own secure intake and paperwork, the website links there for forms that collect clinical information. We do not build that system, and we do not collect sensitive health details on the website by default.
Wording mistakes to avoid
- ✓Outcome promises — words about fixing or curing people set false expectations
- ✓Diagnosis-style checklists — symptom quizzes can read like assessments; describe concerns instead
- ✓Borrowed credentials — list only training and credentials you hold and can document
- ✓Client stories — even anonymized accounts can identify someone; most practices skip them
- ✓Vague fees — unclear pricing turns away people who would have booked
Decisions to make before we write
Decide whether new clients book directly or request a consultation first. Decide which inbox receives form messages and who reads it. Decide whether to list insurance panels, and keep that list current. Decide how you describe your approaches so the words match your training. Decide whether to offer the site in Spanish, and who reviews that wording for accuracy. We write every page from your answers, and you approve every sentence before launch.
Plan fit
A solo practice usually fits the Launch Website at $399 for up to 5 pages: home, about, areas of focus, fees and FAQ, and contact. A group practice with a page for each clinician often fits Business Plus at $989 for up to 20 pages. If you want clients to book online, we connect the scheduling tool you already use or help set up Square booking, and that tool’s fees stay with its provider.
What to expect, honestly
- ✓We do not collect clinical information on the website — intake forms with health details belong in your practice software
- ✓We are not compliance advisors — privacy obligations and advertising rules for your profession should be checked with your board or advisor
- ✓We do not build client accounts or secure messaging — we link to the system you already use
